Under general supervision of the Administrative Operations & Process Manager (AOPM) this position is responsible for process planning, substance abuse program administration, personnel process administration, communication/customer service and payroll administration of the Transportation Services.
Provides communication to TS regarding changes, updates and upgrades. Provides training as necessary to help employee interactions with work systems/processes and procedures. Recommends procedural changes to improve reliability, accountability, quality, performance, work conditions and safety and increase efficiency of the department using a team approach. Advises TS operations on correct procedures and processes to improve productivity.
Supports TS supervisory and management staff through execution of processes including drafting proposed updates to job cards, timekeeping, onboarding/offboarding of regular and student staff, and application of department-level personnel procedures. Assists with records management utilizing the VC's electronic records management systems (ERMS).
Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.
Bachelor's degree in related area and / or equivalent experience / training.
Ability to use sound judgment in responding to issues and concerns.
Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Strong written and verbal communication skills with the ability to understand and follow verbal and written instructions. Ability to articulate in a professional manner and the ability to prepare accurate, concise, and clear written reports. Excellent interpersonal skills including tact, diplomacy and flexibility in working with a diverse population of staff and students. Ability to work with various management systems and a variety of skilled/unskilled, professional, administrative, and industry personnel.
Solid organizational skills and ability to multi-task with demanding timeframes.
Working knowledge of common organization-specific and other computer application programs. Experienced user of standard computer systems and applications including Microsoft Office (Word, Excel, PowerPoint, Outlook).
Ability to use discretion and maintain confidentiality. Proven ability to effectively, persuasively, and diplomatically collaborate at all organizational levels while maintaining confidentiality and exercising discretion. Working knowledge of human resource and payroll administration.
Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail. Data may take the form quantitative or qualitative data that allows for the understanding of standard elements of highly varried service interactions.
Experience streamlining business processes and/or experience in working with structured workflow in a business environment.
Experience initiating and facilitating process improvement efforts.
Working knowledge of applicable policy analysis techniques.
Ability to train staff and hold informational sessions on topics including, process changes/developments.
Demonstrated skills to effectively provide internal customer support in a large department. Ability to provide excellent customer service and interact in a positive manner with diverse groups of people.
Ability to read, interpret, and apply HR policy as required to administer personnel processes including coordination of leave, timekeeping, performance appraisals, job card updates, etc.
Basic familiarity with the Lean or other process improvement frameworks.
Experience planning, organizing, coordinating and supporting all aspects of a production/quality assurance program in a transportation environment.
Ability to model and advocate UCSD Principles of Community.
DMV & DOJ/FBI background checks and clearances required prior to employment.
May be required to work overtime.
Pay Transparency Act
Annual Full Pay Range: $66,252 - $102,416 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $31.73 - $49.05
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
