Job Description

Vannin Chief of Staff has been retained by an enterprise sales platform client focused on AI-powered automation. The platform combines content collaboration, project management, and machine learning to streamline the creation of sales documents like RFP responses, security questionnaires, sales proposals, and statements of work. In business for over 15 years, the client has bootstrapped to profitability with a focus on delivering the best product and servicing their Fortune 1000 customers. In Fall 2024, they launched a new AI-first product that is experiencing rapid growth. With strategic partnerships with industry leading client design partners and technology partners, they're positioned to transform how enterprises handle their mission-critical sales operations and knowledge management.

Chief of Staff Role

Our client is seeking a strategic operator to serve as the CEO's right hand and a key member of our leadership team. Our client uses the Andy Grove management philosophy centered on High Output management. Aligned with this philosophy, the Chief of Staff will act as an extension of the CEO, allowing him to focus more deeply on engineering, product, and sales while ensuring the rest of the business runs efficiently. The ideal candidate will possess strategic acumen, operational finesse and be able to effectively align the needs of the business with precise execution.

As Chief of Staff, you will operate as a peer to the leadership team, while owning critical business functions including strategic planning, board preparation, performance management and financial administration. We’re seeking someone who brings solutions, uses common sense in decision-making, and can execute effectively with minimal coaching. This is a strategic partner who can both drive operational excellence and step in to fill leadership gaps as we continue to build our executive team.

This is a full-time , exempt position based onsite in Denver, CO .

Responsibilities

Strategic Planning & Execution

  • Orchestrate implementation of EOS (Entrepreneur Operating System) across the organization
  • Spearhead cross-functional initiatives and special projects, as assigned by CEO
  • Implement KPIs and operational dashboards for business intelligence
  • Partner with the CEO on operational strategy and resource allocation
  • Develop scalable operational processes aligned with company goals
  • Develop and optimize sales operations processes to support significant revenue growth focus.
  • Create and present board decks and executive-level materials

Financial Management & Operations

  • Oversee cash management, financial forecasting, financial planning, budgeting, and reporting processes in close collaboration with Controller
  • Drive operational metrics towards industry-leading benchmarks (Gross Margin, Net Revenue Retention, Sales Efficiency, CAC Payback)
  • Build operational dashboards aligned with board reporting requirements
  • Collaborate with the financial controller on finance administration and HR processes
  • Develop a process to manage vendor relationships and contracts

Team Development & HR

  • Build and support teams covering HR, Finance, and Operations
  • Execute talent acquisition and retention strategies
  • Implement scalable HR systems and processes
  • Orchestrate performance reviews and team development programs
  • Coordinate all-hands events, annual business reviews

Recommended Minimum Qualifications

  • Bachelor's degree in Business, Finance, or a related field
  • 5+ years of progressive leadership experience in operations, finance, or strategy
  • Proven track record in B2B SaaS companies during growth phases
  • High EQ, strong executive presence, and the gravitas to build alignment among the leadership team
  • Proven ability to build and develop high-performing teams
  • Experience implementing operational systems and frameworks (EOS preferred)
  • Strong financial acumen and experience with SaaS metrics
  • Strong analytical, problem-solving, and communication skills
  • Expert in Excel, PowerPoint, and financial modeling
  • Proficiency with Salesforce/HubSpot and financial applications

Preferred Skills & Attributes

  • MBA Degree
  • Experience in a bootstrap-to-growth company
  • Familiarity with AI or Machine Learning product operations
  • Strong, strategic mindset with the ability to proactively anticipate the needs of the business and the CEO
  • Excellent critical thinking with exceptional attention to detail
  • Comfort with direct communication and a bias for action
  • Ability to summarize complex information with clear action items and key details upfront
  • High level of competence and professionalism with a track record of trustworthy execution
  • Solutions-oriented approach with a focus on driving business value rather than just relationships
  • Ability to juggle multiple priorities, meet tight deadlines, and navigate ambiguity with ease

Compensation Range

  • DOE $140,000 - $160,000 USD annual salary + bonus/equity

  1. Vannin Chief of Staff Screening: 15 minute phone interview & 30 minute video interview
  2. Client Interview #1: In Person 1:1 with the CEO (1 hour)
  3. Client Interview #2: In Person Case study presentation with the CEO (2 hours)
  4. Skills and personality evaluations
  5. Client Interview #3: Virtual 1:1 with Board Member (1 hour)
  6. Client Final Interview: In Person lunch/dinner with CEO (half-day)
