Job Description

Description We are looking for an Event Coordinator to join our team in North Hollywood, California. In this long-term contract role, you will play a key part in organizing and managing various aspects of event planning and administrative support. Your expertise in scheduling, vendor coordination, and data management will contribute to the smooth execution of events and their successful closure. Responsibilities: - Coordinate and manage scheduling requests to ensure seamless event planning and execution. - Handle correspondence with participants, vendors, and other stakeholders, maintaining clear and effective communication. - Track participant information and planning data to ensure accurate documentation and reporting. - Collaborate with vendors to obtain quotes and negotiate contracts for event-related services. - Work closely with the travel agency to arrange travel logistics and accommodations. - Assist in preparing materials, promotional items, and swag for event tours. - Support post-event activities, including billing reconciliation and administrative close-out tasks. - Provide general administrative assistance to ensure the efficient operation of event planning processes. Requirements - Minimum of 3 years of experience in administrative assistance or event coordination. - Proven ability to manage scheduling and handle inbound calls professionally. - Strong skills in data entry and maintaining organized records. - Experience in receptionist duties and providing administrative office support. - Excellent communication and organizational abilities. - Familiarity with coordinating travel arrangements and vendor negotiations. - Ability to work effectively in a fast-paced, deadline-driven environment.
