Advanced ENT & Allergy, a long standing member of the Louisville and Southern Indiana healthcare community, is seeking to add an experienced and knowledgeable Front Office Coordinator to their Team. As a growing mid-size practice, our company is large enough to have solid processes in place, but still maintain the small-office feel. A recent partnership with Southern Ear, Nose, Throat and Allergy (SENTA) Partners, a leading community of physician-led and patient focused practices, has brought additional growth opportunities to our team. Advanced ENT &Allergy is a busy practice providing a full spectrum of ENT care as well as a full complement of head and neck surgery. Our 13 Otolaryngologists and our Board Certified Allergist utilize the latest technology, research and patient care techniques to create a top tier patient experience. SENTA Partners is a rapidly growing management services company focused on providing best-in-class support to ENT and Allergy practices across the Southeast United States. With over 70 locations across multiple states, we are dedicated to delivering exceptional patient care and empowering our practices through operational excellence. We are seeking a professional, patient-centered individual with excellent verbal communication skills who enjoys working as part of a team. Candidates must be able to work full time, Monday - Friday. This is a first-shift position; start times may be as early as 7:15 am and end times will vary based upon the patient schedule. Our Front Office Coordinators are an integral part of our patient care, often being the first touch in the patient care process. A smiling face, empathy, and a dedication to providing amazing customer service are a requirement! Position Overview: The Front Office Coordinator at Advanced ENT & Allergy serves as the first point of contact for patients, visitors, and staff. This role is vital in ensuring the smooth and efficient operation of the practice by managing front office tasks, providing excellent customer service, and supporting the clinical team. The Front Office Coordinator is responsible for scheduling appointments, managing patient information, and facilitating communication between patients and medical staff. Key Responsibilities:

  • Greet and check-in patients in a friendly and professional manner.
  • Manage patient appointment scheduling, including rescheduling and cancellations.
  • Answer incoming phone calls, respond to inquiries, and direct calls as needed.
  • Collect and verify patient information, including insurance details and demographics.
  • Maintain patient records in the practice management system, ensuring accuracy and confidentiality.
  • Process patient payments, handle billing inquiries, and provide receipts for transactions.
  • Coordinate communication between the front office, clinical staff, and physicians.
  • Monitor and maintain the cleanliness and organization of the front office area.
  • Assist patients with completing required forms and paperwork.
  • Manage office supplies, ensuring availability for front office operations.
  • Handle patient concerns or complaints with empathy and escalate issues when necessary.
  • Support the administrative needs of the practice, including data entry, filing, and correspondence.
  • Adhere to HIPAA regulations and company policies regarding patient information and confidentiality.
Qualifications:
  • High school diploma or equivalent required; additional education in medical office administration preferred.
  • Previous experience in a front office, administrative, or customer service role, preferably in a medical setting.
  • Strong communication and interpersonal skills with a customer-focused attitude.
  • Ability to multi-task and manage a busy front office environment with attention to detail.
  • Proficiency in using practice management software and Microsoft Office Suite.
  • Knowledge of medical terminology and insurance procedures is a plus.
  • Ability to work effectively both independently and as part of a team.
  • Professional appearance and demeanor with a commitment to providing a positive patient experience.
  • Strong organizational and time management skills.
