Responsibilities

The Executive and Consultant Human Resources Coordinator provides thorough and professional administrative support of HR activities related to the support of executives and consultants, including recruitment, personnel changes, promotions and changes for physician staff. The Executive and Consultant HR Coordinator provides support to the Personnel Committee, including facilitating employment approvals and changes occurring for employed physicians. The coordinator will be responsible for multiple tasks at once and must maintain a high level of organization, attention to detail and responsiveness to both internal and external customers. The Executive and Consultant Human Resources Coordinator will work closely and cooperatively with system-wide leadership, support staff, outside corporate organizations and peers to ensure the recruitment and employment process reflects Mayo Clinic's high level of standards.  The coordinator will be responsible for administrative rights to Personnel Committee and team SharePoint sites and updating the Mayo Clinic Personnel Committee website. 

The coordinator may serve as a backup to support the recruitment process for physicians, executives and physician leadership, including complex scheduling, travel arrangement, interactions with physicians and executives, and managing the stakeholder survey process.

Qualifications

Requires high school diploma or equivalent. Strongly prefer successful completion of a one- or two-year degree/diploma in an administrative assistant/secretarial field. A minimum of five years’ experience working with or supporting senior leaders in an administrative/executive/medical assistant role is required. Demonstrated knowledge of complex organizations, with an emphasis on health care environments is preferred. Requires excellent application of grammar, punctuation, and English usage. Must have computer experience and possess proficiency on technical office equipment and tools (Outlook, Word, Excel, PowerPoint). Must possess high-level skill in organization, clerical aptitude, interpersonal relations, excellent written and oral communication skills, and have the ability to prioritize and handle a variety of tasks simultaneously. Must demonstrate good decision-making and judgment as well as attention to detail and follow-through. Must be able to adapt to a rapidly changing environment. Must have demonstrated ability to deal with extremely confidential information, and have the ability to demonstrate tact, diplomacy and a high level of professionalism.  Experience in maintenance and updating website and SharePoint sites is highly desirable.
