Job Description

Lime Media is looking for a sharp, detail-obsessed, and technically savvy Production Operations Admin to support the critical behind-the-scenes coordination of our fast-moving business. This role is ideal for someone early in their career who is passionate about operations, project systems, and keeping teams aligned and informed.

You’ll play a key part in maintaining data accuracy in tools like Jira and Salesforce, attending meetings, capturing key decisions, and helping keep production projects on track. If you’re detail-oriented, confident with Excel, and eager to learn and grow in a technical, high-output environment—this role could be a great fit.

DUTIES/RESPONSIBILITIES:

Data Entry & Project Tracking

• Accurately enter and update production project data in Jira and Salesforce, including breaking down work orders for fabrication.
• Maintain real-time visibility of project status across the shop through clean, consistent data entry.

Meeting Support & Documentation

• Attend daily and weekly production meetings, taking detailed notes that clearly document next steps, owners, and decisions.
• Distribute summaries and keep documentation organized and accessible to the team.

Status Reporting & Follow-Up

• Assist in preparing daily project status updates for internal stakeholders.
• Follow up with team members to ensure open tasks are completed and timelines are met.

Systems Organization & Improvement

• Help keep digital records and documentation organized across systems and shared drives.
• Spot inefficiencies or tracking gaps and offer suggestions to make things run smoother.

REQUIRED SKILLS AND ABILITIES

• High attention to detail with a systems mindset for tracking and documentation.
• Maintain high accuracy and maintenance within Lime’s systems of record.

• Comfortable learning and using tools like Jira, Salesforce, or project management platforms.
• Communicate clearly and aren’t afraid to speak up, ask questions, or double-check assumptions.

• Are curious and motivated to learn new systems and improve how work gets done.

EDUCATION & EXPERIENCE

• High school diploma or equivalent required.
• Associate’s or Bachelor’s degree in Business, Operations, Project Management, or related field preferred but not required.
• 1-2 years of administrative, operations, or project support experience.
• Familiarity with workflow systems like Jira, Salesforce, Asana, or Trello.
• Solid Excel skills (can build basic formulas, use filters, sort, create tables or simple charts).
• Bonus: Experience in a production, fabrication, or operations environment.
• Bonus: Experience with shared drive organization or digital file management systems.
