Position Overview

The Division of Mental Health is seeking to hire a Records Manager for the Treatment and Detention Center located in Rushville, Illinois. Performs duties of a highly responsible administrative nature. Performs a variety of staff functions. Coordinates and assists with projects associated with monitoring facility clinical records and projects. Assists in the interpretation and implementation of policy and procedures to verify the efficient functioning of the records section of the facility. Prepares reports and proposals and conducts research. Serves as the facility Litigation Coordinator for all lawsuits.

Essential Functions

  • Serves as Records Manager for the Treatment and Detention Facility.
  • Serves as correspondence control manager for the Program Director.
  • Serves as a working supervisor.
  • Conducts research and compiles data to assist the Program Director in management control of facility operations, including trends in overtime, personnel movement, auditor general’s findings, internal audit findings, etc.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires two (2) years of professional experience in a public or private organization.

Preferred Qualifications

  • Two (2) years of professional experience effectively communicating with both internal and external officials, providers and/or the general public in oral and written form.
  • Two (2) years of professional experience researching and developing correspondence to internal and/or external individuals.
  • Two (2) years of professional experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
  • Two (2) years of professional experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
  • Two (2) years of professional experience conducting special projects which include evaluating existing and proposed programs, using Microsoft Word and other programs to demonstrate project policies and procedures for a public or private organization.
  • Two (2) years of professional experience monitoring records and projects for a public or private organization.

Conditions of Employment

  • Requires the ability to utilize office equipment, including personal computers.
  • Requires ability to pass the IDHS background check.
  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
