Job Description

The Humphrey School of Public Affairs is seeking a highly organized and proactive Deanâ™s Office Administrative Associate to provide vital administrative support to the Deanâ™s Office. This role will support leadership, faculty, and staff in furthering the Schoolâ™s mission by ensuring the smooth execution of administrative functions, supporting strategic initiatives, and assisting with event coordination. They will help ensure compliance with University policies in all administrative functions. The Administrative Associate will report to the Executive Assistant to the Dean and work closely with the Development Director and Senior Strategic Advisor as well as various senior leaders and support staff within the School.

Responsibilities

Administrative and Office Support (50%)

  • Assist the Executive Assistant to the Dean with office management tasks, including supply ordering, space coordination, and visitor logistics.
  • Support the Senior Strategic Advisor and Development Director with calendar management, correspondence, and travel arrangements.
  • Manage and process travel reimbursement requests for the Dean, faculty and staff, in accordance with University policies.
  • Maintain records and documents related to the Deanâ™s Office operations, ensuring organization and compliance with institutional standards.
  • Serve as a backup to the Executive Assistant to the Dean, in the functions related to the direct support of the Dean.
  • Provide additional project-based support as needed to enhance administrative efficiency across the School.
  • Other duties as assigned.

Council and Faculty Support (30%)

  • Provide administrative support for the Deanâ™s Advisory and Honorary Councils, assisting with meeting coordination, correspondence, and documentation.
  • Support faculty hiring searches in collaboration with the Associate Dean for Faculty, including scheduling interviews, preparing materials, and ensuring adherence to University hiring guidelines.
  • Assist with tracking and supporting faculty-related committees and initiatives, ensuring smooth communication between leadership and faculty members. This includes scheduling committee meetings, taking meeting notes, following up on action items, and convening the committee at the direction of respective committee chairs. It may also include conducting research and disseminating critical information to the committee and sending communication on the committeesâ™ behalf.

Event and Committee Coordination (20%)

  • Serve as a backup coordinator for various school-wide committees, assisting with logistics, minutes, and follow-up actions.
  • Support planning and logistics for donor engagement events and activities, working closely with the Development Office and Communications team.
  • Assist with internal meetings, retreats, and professional development sessions by preparing materials and managing RSVPs. Including but not limited to the support of Awards and Honors and the Equity and Inclusion Council.

Required Qualifications

  • BA/BS degree or a combination of related education and work experience equal to four years.
  • Experience providing administrative support in a professional setting.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills, including the ability to draft professional correspondence.
  • Proficiency with Google Suite.

Preferred Qualifications

  • Experience in higher education administration, development, or public affairs.
  • Familiarity with University of Minnesota systems, including Chrome River, EFS, and the Donor Management System (DMS).
  • Demonstrated ability to work effectively with faculty, staff, students, and external partners.
  • Experience handling confidential information with discretion.
